The Normal Inspection Workflow

Rate, photograph, and note as you go. Clean it up when you're done. That's it.

RVi is designed around how inspectors naturally move through an RV—not how a software developer imagined they might. The core workflow is simple and keeps you focused on the inspection, not the tool.

While you're on-site:

• Rate each item as you encounter it—pass, fail, or flag for review
• Snap photos directly in the app as you go
• Add a quick comment manually if something stands out
• Use customizable quick notes for the phrases you type constantly—one tap and it's done

When the inspection is complete:

• Do a single pass through the inspection to flesh out any additional detail
• Fill in data-entry items—serial numbers, dates, model numbers—straight from your photos
• Add any comments you held off on while moving

The result is a workflow that keeps you efficient on-site—where time is money—and reserves the detailed write-up for when you're sitting still. No scrambling to remember what you saw. No re-doing entries. Just a clean, focused two-phase process.

Cloud-First by Design

RVi requires internet connectivity to work—and that's intentional.

We chose cloud-first architecture because it allows us to deliver a far superior user experience. Most "offline-first" inspection apps make painful compromises around data synchronization—conflicting edits, stale data, sluggish performance, and complicated merge logic that frustrates inspectors when they're trying to focus on the job.

Instead, we built RVi with real-time collaboration as a core feature. Every change syncs instantly. Every team member sees the same data. No conflicts. No delays. No confusion.

The tradeoff is intentional: RVi works best when you're connected. We think that's the right engineering decision for modern inspection workflows.

Connectivity Is Standard, Not Rare

The vast majority of RV inspections happen with connectivity available.

WiFi at inspection lots, Starlink at remote locations, cell hotspots on the road—internet connectivity is more accessible than ever before. Most inspectors work where connectivity exists.

For the small percentage of inspections where you might not have a signal, RVi gives you a practical solution.

Walk Sheets for No-Signal Situations

For rare cases without connectivity, RVi generates a walk sheet—the old-school way.

Before you head to an inspection, use the Inspection Builder to select a base template and add only the relevant additions for that job. RVi generates a customized walk sheet that mirrors that exact structure, ready for a pencil, clipboard, and camera.

The walk sheet includes:

• Every inspection item in the exact order you'll encounter it
• Space for notes and pass/fail checks
• Your branding and business details
• Photo references for complex systems
• All customizations you've made to your template

Why walk sheets work so well: Because the structure exactly matches your generated inspection template, you're not wading through generic "might apply" items. Transcribing from paper to digital is fast, intuitive, and report-ready.

The right hardware makes a noticeable difference on a full-day inspection.

Use a Tablet When You Can

RVi works on any modern smartphone, but a tablet is the better tool for a professional inspection. An inspection involves a lot of information on screen simultaneously—item lists, statuses, photos, and notes—and a larger display lets you see more at a glance, tap more accurately while wearing gloves or working in tight spaces, and review photos without squinting.

A tablet also makes the post-inspection pass significantly faster. Reviewing photos and entering serial numbers, dates, and model numbers on a full-size screen is much less tedious than hunting through thumbnail-sized images on a phone.

Your phone works fine and is always the right choice when it's what you have. But if you're investing in your setup, a tablet is worth it.

Plan Your Internet Access

RVi is cloud-native, so reliable internet access is part of your kit just like your flashlight and ladder. The good news: you have several easy options and most inspection scenarios already have one covered.

• Phone hotspot — The simplest option. Turn your phone into a hotspot and connect your tablet. Works well wherever you have a decent cell signal.
• Cellular-capable tablet — If you invest in a tablet, consider one with built-in cellular. No separate hotspot needed, and one less device to manage on-site.
• Site WiFi — Many dealerships, RV lots, and campgrounds have WiFi available. Worth asking before the inspection day.
• Personal Starlink or mobile router — For inspectors who work in remote locations regularly, a portable Starlink or dedicated mobile hotspot device is a worthwhile investment.

Check your connectivity plan before arriving at the site—not after. A few minutes of preparation eliminates the most common day-of headache.

Bring a Way to Charge

A thorough RV inspection can mean capturing several hundred photos—sometimes approaching a thousand—while staying connected to the cloud for the duration of the job. That's a significant battery load, especially on a warm day when your display is on continuously.

We recommend:

• A high-capacity portable battery pack (20,000 mAh or more) for all-day coverage
• A short charging cable that stays out of the way while you work
• Charged and ready before you leave—don't rely on the inspection site for power

Running out of battery mid-inspection is avoidable. A $30 battery pack eliminates that risk entirely.
